Vendor Booths
Secure your booth space to display and sell your products or services. We offer a variety of booth sizes to meet your needs, from small setups to large, premium locations.
Standard Booth: $175, One 8’x8’ Space, One 6’ Table, Located in the Trick-or-Treat area, Electricity available for additional $15
Corner Booth: $250, One Corner 8’x8’ Space, Two 6’ Tables, Located in the middle of the Trick-or-Treat area, Electricity Available for additional $15
End Cap Booth: $500, One End Cap 16’x8’ Space, Three 6’ Tables, Located in the middle of the Trick-or-Treat area, Electricity Available for additional $15

Sponsorship Opportunities
Maximize your brand’s impact by becoming an official sponsor of the Fall Festival. Sponsorship packages are available at various levels, each offering exclusive benefits:
Presenting Sponsor: $5,000, Event will be "Presented By:" your Company on ALL Advertising including TV Ads. A Company Representative may be present at the entrance of the event with Company Table Prominently featured to welcome all attendees. Company Name and Logo Prominently Featured on the Event T-Shirt, Company Name and Logo sent out to our mailing list and listed on our website.
Media Sponsor: $2,000, Sponsor our Media Outreach for the event. This includes your Company logo in ALL advertising for the event including TV Ads, Company Name, Logo and Ad reads throughout the event and on the event T-Shirt, Company Name and Logo sent to our mailing list and a Single Table Sponsorship with Priority Location
Raffle Sponsor: $1,500, Sponsor the Raffle at the Fall Festival. This includes your company logo in online advertising for the event, your logo on the back of the t-shirt for the event, Company Ad Reads throughout the event and a Single Table Sponsorship.
Game Sponsor: $1,200, Sponsor one of the E-Sport Events at the Fall Festival. This includes your company logo in online advertising for the event, your logo on the back of the t-shirt for the event, and a Single Table Sponsorship
Each sponsorship level includes a range of promotional opportunities, from logo placement on event materials to shoutouts on social media and event day announcements.

Set up in an 8'x8' space with one 6' table for the Fall Festival Vendor/Trick-or-Treat area with candy, products and promotional materials
Sponsor one of the E-Sport Events at the Fall Festival. This includes your company logo in online advertising for the event, your logo on the back of the t-shirt for the event, and a Single Table Sponsorship
Set up in a corner 8'x8' space with two 6' tables for our vendor/ Trick-or-Treat Area with candy, products and promotional materials.
Sponsor the Raffle at the Fall Festival. This includes your company logo in online advertising for the event, your logo on the back of the t-shirt for the event, Company Ad Reads throughout the event and a Single Table Sponsorship.

This includes your Company logo in ALL advertising for the event including TV Ads, Company Name, Logo and Ad reads throughout the event and on the event T-Shirt, Company Name and Logo sent to our mailing list and a Single Table Sponsorship with Priority Location
All vendors purchasing table(s) in the show agree to adhere to the Show Rules and Policies below:
SETUP TIMES:
o Friday 6 – 7 PM
o Saturday 8 – 9:30 AM
o All Vendors should be set up by 9:30. Any vendors that arrive after 9:30 will not be allowed to setup and will not be refunded vendor or sponsor fees.
·SETUP: The Midlands Gaming Coalition does not provide personnel or equipment to help with setup. Setup is vendor’s responsibility and vendor should make all preparations necessary.
·BREAKDOWN: Due to liability concerns, booths may not be dismantled until show end time which is advertised as 4pm. Breaking down or leaving before the end of the show will result in not being invited back to future events.
BOOTH SPECIFICS:
o 6 foot tables will be provided (quantity depends on booth size purchase).
o You may bring your own additional tables as long as they will fit within your space and not encroach on walkways or other vendors.
o Vendor is responsible for bringing table linen(s).
o All business materials must fit within your booth space.
·ELECTRICITY: There is a $20 charge for electricity. Vendors may reserve electricity when registering for the show. Please bring adequate power strips and/or extension cords for all electronics.
·SIGNAGE: Each Vendor is responsible for their own signage which must fit in their booth space.
·SECURITY: Please do not leave anything of value unattended. The Midlands Gaming Coalition nor show facility is responsible for theft or damages.
·FAMILY FRIENDLY: Items in booths and in images displayed in booths must be family friendly. The Midlands Gaming Coalition has the right to deny anything displayed at the show at any time.
CANCELLATION POLICY:
o All payments are non-refundable & non-transferable.
Liability and Indemnification
o Reasonable precautions will be taken by the Midlands Gaming Coalition to protect persons and property during the show; however, neither The Midlands Gaming Coalition, show facility, nor representatives of the same, shall be responsible for the safety of the Vendor or its representatives, from injury or for the safety of the property of the vendor or its representatives from theft or damage. Vendor waives all claims of every kind against The Midlands Gaming Coalition, show facility, and representatives of the same including, without limitation, all claims for damages based on personal property damage, destruction, loss or theft, personal injury or death, and any other act or failure to act by The Midlands Gaming Coalition. Vendor further agrees to indemnify and hold The Midlands Gaming Coalition harmless for any claim or personal injury sustained by any show attendee as a result of any defect or hazardous condition within vendor’s space. Vendor must carry liability insurance applicable to participation in a public show. In the event of adverse weather conditions, fire, casualty, disaster, labor disputes, terrorism, acts of God, or any other cause beyond the control of Show Management, Show Management may, at its discretion, reschedule and/or relocate the show. Vendor agrees that the terms and conditions set forth in this agreement shall apply to any rescheduled date and/or relocation, and The Midlands Gaming Coalition shall not be liable to Vendor for any loss or damage suffered by Vendor by reason of such rescheduling and/or relocation. Vendor agrees to indemnify and hold The Midlands Gaming Coalition harmless from all claims, including expenses, damages, costs, and attorney’s fees, from vendor, vendor’s agents, employees, contractors, or by any other person, arising out of any act or omission in any way related to the vendor’s participation in the show, whether negligent or not.
Severability:
If any clause of this agreement is found to be invalid or unenforceable, the remainder of the agreement shall continue in full force and effect without regard to the invalidated clause.
